Property Manager

We are looking for a driven and experienced Property Manager. Both a leader and team player, the successful candidate will have proven ability to develop long-lasting relationships with our clients. Our ideal candidate is:

  • A Registered Condominium Manager (RCM certified) or approaching certification
  • Experienced in condominium property management
  • Professional and efficient

In this role you will:

  • Report to the Regional Manager
  • Answer board and resident enquiries and resolve concerns
  • Send a weekly report to the board of directors
  • Check e-mails, correspondence, faxes and respond within 24 hours
  • Enforce condominium corporation declaration, by-laws and rules
  • Oversee and work with superintendents, cleaners, and security officers
  • Handle the daily affairs of the condominium corporation
  • Prepare all outgoing mail for distribution and ensure timely distribution
  • Prepare reports and correspondence with unit owners, residents/tenants, the board of directors and contractors
  • Prepare the first draft of the annual operating budget
  • Answer administrative inquiries and resolve problems
  • Prepare and review packages for board meetings
  • Collect common element fees from unit owners
  • Approve and sign all invoices, attach and verify corresponding packing slips, work orders or purchase orders and submit to accounting
  • Hire, train, supervise and discipline all building staff
  • Perform periodic site inspections, for example, overall appearance, deficiencies, landscaping, fire equipment, utility rooms, and garbage room
  • Maintain petty cash records and receipts

Site Administrator

Reporting to the Property Manager, the Site Administrator keeps the Property Manager informed of all daily business and issues. Skilled in providing excellent customer service, the Site Administrator is the face of Duka Property Management to residents, owners and trades.

Our ideal candidate is:

  • A high school graduate (candidates with post-secondary education preferred)
  • Preferably currently enrolled in ACMO courses
  • Has one to two years of experience in an administrative role supporting a senior manager, preferably in property management or customer service in an office environment

In this role you will:

  • Report to the Property Manager on a daily basis
  • Check e-mails, correspondence, faxes and respond within 24 hours
  • Oversee and work with superintendents, cleaners, and security officers
  • Prepare standard written responses to routine enquiries
  • Prepare cheque deposits, record and deposit at bank
  • Prepare all outgoing mail and ensure timely distribution
  • Monitor and order office supplies
  • Receive all items delivered to the company’s address
  • Fax, scan and copy various documents as required
  • Maintain soft and hard copies of letters, correspondence, memos, requests, notices, and file them in accordance with ACMO standards
  • Prepare Status Certificates as requested
  • Update and maintain databases, for example, owners’ lists, trades’ lists, service agreements, contract summaries, site information, liens’ list
  • Update information on all trades, for example, insurance coverage and Workplace Safety and Insurance Board coverage (WSIB)
  • Handle common element fee arrears on a monthly basis
  • Collect outstanding arrears on timely basis and update the Property Manager regarding units in arrears
  • Perform work-related errands (bank, post office) as requested
  • Assist the Property Manager with event planning
  • Maintain and update petty cash and receipt records

Head Office Administrator

The Head Office Administrator is responsible for several properties. The successful candidate will also keep property managers informed about all daily business and issues. Skilled in providing excellent customer service, the Head Office Administrator is the face of Duka Property Management to residents, owners and trades.

  • A high school graduate (candidates with post-secondary education preferred)
  • Preferably currently enrolled in ACMO courses
  • Has one to two years of experience in an administrative role, preferably in property management or customer service in an office environment

In this role you will:

  • Report to the Office Manager on daily basis
  • Check e-mails, correspondence, faxes and respond within 24 hours
  • Answer calls, take detailed messages and record calls
  • Prepare all outgoing mail and ensure timely distribution
  • Receive all items delivered to the company’s address
  • Fax, scan and copy various documents as required
  • Compose and process various documents, reports and correspondence to unit owners, residents and tenants, board of directors and contractors
  • Maintain soft and hard copies of letters, correspondence, memos, requests, notices, and file them as per ACMO standards
  • Update and maintain databases, for example, owners’ lists, trades’ lists, service agreements, contract summaries, site information and liens’ lists
  • Update information on all trades, for example, insurance coverage and Workplace Safety and Insurance Board (WSIB) coverage
  • Ensure timely collection of common element fees arrears and outstanding charges and report to Office Manager
  • Assist the Office Manager with event planning
  • Prepare Annual General Meeting (AGM) packages as instructed by Property Managers
  • Handle trade access to units and utility rooms by supplying unit door keys, unit mail box keys, keys for common areas
